When planning an event it is essential you consider every possible hazard and risk that may occur. Knowing and planning for risk ahead of time is essential to a successful event.

As the organiser of a public or private event, you have a legal and moral responsibility to ensure the safety of anyone attending. This includes:

  • Participants
  • Contractors
  • Volunteers
  • General public around the event site.

 

Event safety plan

A good way to meet safety obligations is to have an event safety plan. The purpose of event safety is to:

  • Ensure a safe environment so participants have a positive event experience
  • Ensure that event staff, the public and property are adequately protected.

The objective of an event safety plan is to:

  • Demonstrate how a safe environment is being provided for the event staff, public and property
  • Document how the "what ifs" are being managed
  • Reduce the risk.

The nature of your event will determine the level of detail required in the safety plan.

Identifying potential hazards and the level of risk they pose is called risk assessment. Once the assessment has been done, you can decide if you need to put in place any necessary contingency plans.

It is your responsibility to be aware of any existing safety procedures already in place at your venue.
